WooCommerce refund email templates: partial refunds, delays & refund confirmation

WooCommerce refund replies for requests, approved actions, partial refunds and provider delays. Distinguish a WooCommerce refund record from actual money returned through the payment provider.

Updated 3 October 2026 · CaseKit team

Check the payment evidence first

WooCommerce manual refunds record an adjustment but do not return money through the gateway. Directly changing an order to Cancelled or Refunded does not issue a refund. Check the gateway result or other confirmed transfer before telling the customer funds were returned. See WooCommerce’s refund documentation.

Describe the amount and stage precisely

Identify the affected items, shipping or tax adjustment and amount with currency. Explain whether the request is under review, approved, submitted to a provider or successfully recorded by the provider. A partial refund may leave the order with another status; do not promise a full refund from a line-item adjustment.

Use provider-specific timing

Verify any estimate with the actual payment method and provider. Do not make a universal promise of one business day or a fixed bank arrival window. Give the customer a clear escalation point if the recorded estimate passes. Never ask for full card details to investigate a refund.

Copy-paste starters

Replace every placeholder, check the condition above each reply and remove any action or estimate that is not verified. These templates do not send messages or perform order actions.
